Solicitation

An important part of the KBP culture is giving back to the communities KBP serves. With this commitment, however, comes a responsibility to balance participation in charitable and community activities with the overall goal of meeting customer expectations.

The purpose of this policy is to define KBP’s position regarding the solicitation of employees and the distribution of literature in the workplace. To prevent interference with business operations and to respect employees who may feel pressured or bothered by repeated requests for contributions, involvement, or support, KBP limits solicitation and distribution of literature on KBP property as set forth in this policy.

Policy Expectations

Other than approved solicitation for KBP-sponsored activities, solicitation on company property is prohibited when the employee soliciting or the employee who is being solicited is on working time. In addition, except for the approved distribution of literature for KBP-sponsored activities, employee distribution of literature on company property is prohibited during working time and in working areas. Under this policy “working time” is defined as the time employees are expected to be working and does not include time during which employees are not required to perform work, such as break or meal periods or before or after shifts. “Working areas” include all areas where work is performed, but exclude areas where no work is performed, such as restrooms and parking lots.

As noted above, KBP may approve certain fundraising activities and/or requests for employees to participate in charitable or other community activities. Such activities are generally sponsored or supported by KBP and serve the interests of KBP, the community, its employees and/or other stakeholders. Employees may participate in solicitation for KBP-sponsored activities during working time with management approval. Employee participation, including making financial contributions, is strictly voluntary.

Raffles, lotteries, betting pools or similar games of chance where an employee is required to contribute money or something of value to participate are prohibited, unless the activity is approved and KBP-sponsored. This prohibition does not apply to silent auctions or similar activities in connection with KBP-sponsored activities where employees receive value in exchange for their contribution.

KBP’s electronic communication systems, all equipment and software, and all applications that comprise those systems are owned and provided by KBP to facilitate work and to assist in conducting company business. Except for use in connection with KBP-sponsored activities, communication systems are not to be used to solicit or promote support for or against any cause, organization, or commercial venture during working time.

Solicitation and distribution of literature by non-employees on company property is always prohibited, except for solicitation or distribution of literature that is approved in advance by KBP in connection with KBP-sponsored activities, benefit programs (e.g., company wellness initiatives) or activities directly related to the business of KBP.

Managers and employees are expected to familiarize themselves with the Solicitation policy. For questions about whether an activity is KBP-sponsored and/or approved, or to learn more about the approval process, contact your Human Resources Business Partner.
